# Attendees and check-in

Open **Benefits > Edit Benefits > Events > Edit**, then select **Edit event** on the event you want to review.

## Review member RSVPs

Each expanded event shows counts for **Going**, **Maybe**, **Not going** and **Waitlisted**. The Going count includes members marked Going and confirmed guests. The **Attendees and check-in** section lists member RSVPs and guests, with their current check-in status. Guests also show their booking status and inviting member.

For product-linked events, a member is marked Going after Memberply processes the completed ticket order. Viewing the product or adding a ticket to the cart does not confirm attendance. See [Free and paid event tickets](/events/free-and-paid-event-tickets.md).

## Review guests

Guest entries show the guest's name, optional email address, inviting member and booking status. A guest awaiting payment is a reservation, not a confirmed attendee. See [Plus One guest bookings](/events/plus-one-guest-bookings.md) for payment, expiry and cancellation behavior.

## Find an attendee quickly

Search by attendee name, email address or inviting member. Searching for a member also finds their Plus One guests, even when the guest has no email address. Use **All / Members / Guests** and **All / Not checked in / Checked in** to narrow the list. These filters combine with your search.

The totals show everyone checked in and the expected attendance (Going members and confirmed guests), regardless of the current filters. Attendance refreshes every 15 seconds while the list is open. Select **Refresh** to fetch the latest records immediately, including arrivals recorded in Shopify POS. If refreshing fails, the previous list remains visible with an error. Check your connection before continuing.

## Check in a member

1. Find the member under **Attendees and check-in** in the expanded event.
2. Confirm that their RSVP is **Going**.
3. Select **Check in member** when they arrive.
4. To correct a check-in, select **Undo check-in**.

Members marked **Maybe**, **Not going** or **Waitlisted** cannot be checked in. If a member's RSVP changes after check-in, you can still undo their earlier check-in. Member check-in is available even when Plus One guest bookings are disabled.

Check-in changes are saved immediately, so you do not need to save the event separately. Wait for the button to finish saving. If an error appears, try again. Check-in records arrival without changing the RSVP, reserving another place or collecting payment.

## Check in a confirmed guest

1. Find the guest in the expanded event.
2. Confirm that their booking status is confirmed.
3. Select **Check in guest** when they arrive.
4. To correct a check-in, select **Undo check-in**.

The guest check-in button is available only for confirmed guests. It records arrival; it does not collect payment or change the member's RSVP.

## Export attendees

Select **Export attendees** in the expanded event to download a CSV. It includes:

* Name and email address.
* Member RSVP or guest booking status.
* Check-in status.
* The inviting member for guest entries.

Review the status column when using the export as a door list. An exported row does not necessarily mean the person has a confirmed place.

## Check in through Shopify POS

1. In Shopify admin, open **Point of Sale > Settings > POS apps** and add Memberply's **Event check-in** extension. Add its **Event check-in** tile to the POS smart grid if needed.
2. Open the tile and choose the event. Search events by title or location if needed.
3. Search for the member or guest by name, email or inviting member. Use the attendee and check-in filters to narrow the list.
4. Select **Check in member** or **Check in guest**. To correct an arrival, select **Undo check-in**.

You do not need to add a customer or product to the cart. The POS tile uses the same attendance records as the merchant dashboard. Refresh runs every 15 seconds, or use **Refresh attendance**. Repeating a check-in does not create another attendee or consume another place.

An internet connection, an active Memberply subscription and a Shopify user with permission to use Memberply are required. Shopify authenticates the account logged into POS, not just the staff PIN currently in use. If access is denied, check that account's app permissions and sign in again. Use a current version of the Shopify POS app. See [Shopify POS setup](/integrations/shopify-pos.md).

Check-in does not take payment or confirm an unpaid guest. Wait for the booking to become **confirmed** before checking in a paid guest. Set up events and export the attendee CSV from the merchant dashboard. Search filters do not restrict the CSV export; it includes the full attendee list.

## Scan a membership card

Issue a [membership card](/members-area/membership-cards.md) from the member's details first. In the event attendee list, use **Scan membership card**:

1. Select **Use camera** and allow camera access, or focus the QR input and use a keyboard-style QR scanner. You can also paste the card's QR value and select **Find member**.
2. Compare the member's photo, name and number with the person arriving.
3. If the booking is confirmed, select **Confirm check-in**.
4. Select **Scan next member** to continue.

In Shopify POS, open the **Event check-in** tile, select the event and choose **Open camera scanner**, or use a supported QR scanner. The same review and confirmation steps apply. A product barcode scanner that cannot read QR codes will not read membership cards; attendee search remains available.

A member's card works across events, but only a **Going** RSVP admits the member to the selected event. A cancelled event cannot accept new arrivals. A replaced or revoked card is rejected, and an already checked-in member is never checked out by a repeated scan. Guests can continue to be checked in from the attendee list.

New arrivals show their recorded time and whether they came from the dashboard or POS. Memberply retains check-in and undo history. Dashboard actions identify the authenticated shop account; POS actions identify the Shopify user from the authenticated POS session. Existing arrivals recorded before this feature have no historical time or operator added retroactively.

If a request fails, check the connection and refresh or scan again. Both interfaces require internet access; there is no offline check-in queue. Other open lists refresh every 15 seconds.
